Consulting FAQs

An initial registration application takes an average of 6-9 months to complete. Submission of the initial application to ASQA can vary greatly. The time it takes depends on the setup package you choose (custom or off-the-shelf), the type of setup (RTO only, RTO and CRICOS, etc.) and your readiness.

The process generally takes about 6 months, which includes:

  • 3 months to complete the application process, provided you have all of the following:
    • Establishment of company
    • Availability of financial records
    • Access to suitable premises
    • Ability to recruit suitable trainers
  • 3 months from the initial submission date for ASQA to call the audit.

Many circumstances can trigger an audit by the regulator. Common triggers include:

  • Applications to become a provider
  • Addition to scope applications
  • Change of ownership
  • Re-registration of an RTO

If ASQA receives a serious complaint, or a series of complaints about your RTO, this can also trigger a regulatory activity by ASQA, which may include an audit.

Additionally, ASQA conducts random audits as part of its monitoring processes. This ensures RTOs remain compliant and gives peace of mind to learners that their education meets industry standards.

No, you can deliver units individually (as a short course) without applying for approval. You don’t need to apply to add short courses to your scope if the unit is already within a qualification on your scope, and:

  • Any unit entry requirements are met
  • Any unit delivery restrictions are observed.
  • The unit is current or in transition.

All initial registration applications require a Financial Risk and Viability Assessment (FVRA).

FVRAs are also required for addition to scope applications made by RTOs that have been registered for under 2 years.

An FVRA is also required when 50% or more of the shares change hands within a 12 month period.

There may be more circumstances where ASQA requires you to complete an FVRA. Speak to our consultants to find out.

We suggest you get in touch directly with ASQA and ask for an update. You can email ASQA at enquiries@asqa.gov.au.

Remember to quote the application number (you can get this from ASQAnet) and mention your lodgement date.

Your application may take a long time for ASQA to process if:

  • There is a large volume of applications that need to be assessed
  • Your application is incomplete
  • The information or evidence you have provided is insufficient
  • You have not responded to requests for information from ASQA.

Working with our RTO consultants is the best way to ensure your application is processed as quickly as possible. We’ll make sure your application is complete and that your documentation and evidence is sufficient to satisfy the regulator. This avoids hang ups in the assessment and audit process.
